Privacy
FundedProf helps students find doctoral supervisors and write to them. This page says what we keep to do that, who else handles it, and how to have it removed.
What we keep about you
- Your account: your email address, and your name if you sign in with Google.
- Your profile, as you enter it: name, CGPA and its scale, degree, major, research experience and interests.
- Documents you upload, such as a CV, papers, transcripts, test scores or a statement of purpose. We store the file, extract its text, and keep a short summary so drafts can refer to it.
- What you do in the product: your searches, the professors you save, outreach plans, questions you ask the assistant and its answers, your email template, the drafts written for you, and your outreach tracker.
- A count of the drafts and consultations your plan has used. This record cannot be deleted from your dashboard, because it is how plan limits are kept.
- A record of each request to our AI: what it was sent (the parts of your profile, the professor’s record and your template that a draft or an answer is built from), what it wrote back, which model answered, how long it took and what it cost.
- What you do with a draft: whether you copied it, opened it in your mail or sent it, with the text as it stood at that moment, and how you rated a draft or an answer. Your tracker’s statuses — sent, replied, declined — are recorded as they change.
- A log of your searches: what you searched for, which countries, and how many professors came back.
- If you pay: the bKash transaction ID, the number you paid from, the amount and the plan.
- If you connect Gmail to send from FundedProf: a Google token that allows sending only. It cannot read your mailbox. If you use an app password to send instead, it is encrypted with a key our database never sees, and used only to send the emails you choose to send.
Why
To rank professors against your research, draft emails in your own voice, show your plan and what it has left, check and activate payments, and answer you when you ask for help. We do not sell your information, and we do not show you advertising.
Who else handles it
These services process information on our behalf, only to run the product:
- Supabase — our database, file storage and sign-in.
- Vercel — hosts the website. Render — hosts the server that ranks professors and drafts emails.
- OpenRouter — passes AI requests to the model that answers them: Anthropic (Claude) writes email drafts; DeepSeek writes outreach plans, assistant answers and document summaries; OpenAI turns search text into the numbers search runs on. Your profile, document summaries, template and questions are sent with those requests.
- Tavily — web search used to find a professor’s public email address on their own university’s website. Only the professor’s name and university are sent.
- OpenAlex and ORCID — public research databases, queried with professors’ and researchers’ names, not with your information.
- Google — only if you connect Gmail, to send the emails you choose to send.
- bKash — for payments you make.
Training our own AI
From the date shown on the notice in your dashboard, we use the drafts written for you, your edits to them, how you rated them and how your outreach went, and the questions you ask the assistant with its answers, to train FundedProf’s own AI so it writes better letters for every student. This is on unless you switch it off — on that notice, or at any time in My profile. Switching it off stops it for everything from then on and for anything not yet used.
- Never used for training: the documents you upload (CV, papers, transcripts, test scores, statements), payment details, and anything you wrote before the date on the notice or before you were shown it.
- Email addresses, phone numbers and links are removed from what is used.
- If another company trains a model for us, it will be named on this page before anything is sent to it.
Emails written by AI
Drafts are written by an AI model from your profile and the professor’s published work. They can be wrong. Read every draft before you send it: what goes out under your name is yours to check.
Information about professors and researchers
FundedProf shows public information about researchers: professors’ grants from the US National Science Foundation and National Institutes of Health, their publications from OpenAlex, and their university email where they publish one. It also shows Bangladeshi researchers who have published with a professor — their name, affiliation, the shared papers, and public professional profiles found in ORCID, OpenAlex and web search — so a student can ask for an introduction.
If you are one of these researchers and want your information removed, email muhibmugdha@gmail.com or WhatsApp +8801839576276. We remove it by hand and confirm when it is done.
Keeping and deleting
You can delete documents, saved professors and past sessions from your dashboard at any time. To delete your whole account and everything in it, email muhibmugdha@gmail.com or WhatsApp +8801839576276 from the address you signed up with, and we will delete it within 30 days. Payment records and the usage count above are kept after that, without your documents or drafts, so a payment can still be checked or refunded.
The records of AI requests, searches and what you did with your drafts are not removed when you delete a draft or a session from your dashboard. If training is switched off, their words are erased after 180 days and only counts, timings and costs are kept; if it is on, they are kept until you switch it off or delete your account. Deleting your account removes them. Our database provider’s daily backups can hold deleted data for up to seven days after it is removed.
Security
Every student’s records are separated in the database so one account cannot read another’s. Sending credentials are encrypted. No system is perfectly secure, and we will tell you if we learn that your information was exposed.
Age
FundedProf is for university graduates. It is not meant for anyone under 18.
Changes and questions
If this page changes in a way that affects what we do with your information, we will say so in the product before it takes effect. Questions: email muhibmugdha@gmail.com or WhatsApp +8801839576276.
